Guide
How to reduce no-shows with a website chatbot. Fewer empty slots.
Short answer: most no-shows aren't rude customers. They're people who forgot, had a question nobody answered, or couldn't easily reschedule, so they just didn't come. A website chatbot fixes the last two: it answers "where do I park?" and "what do I bring?" at any hour, and hands people your reschedule link instead of letting them disappear. Pair it with the reminders your booking tool already sends, and the empty slots shrink. Here's what causes no-shows, what a chatbot can and can't do about them, and how to set it up.

Why do no-shows hurt so much?
A no-show isn't just one lost sale. It's a slot you held open, staff you paid to wait, and a customer you could have booked instead. You almost never refill it, because nobody knows it's empty until the time has already passed.
The math adds up fast. If you lose three $80 appointments a week to no-shows, that's about $12,000 a year in empty chairs. Even cutting that by a third pays for a lot of tools. And unlike a late cancellation, a no-show gives you zero chance to fix it.
Why do customers miss appointments?
Ask any office manager and you'll hear the same reasons over and over:
- They forgot. Especially when the appointment was booked weeks ahead.
- They had a question and nobody answered. "Do I need to fast first?" "Is there parking?" "Do you take my insurance?" Unsure people put things off.
- Rescheduling felt like a hassle. If the only way to move a booking is to call during business hours, a lot of people just don't show up instead.
- They didn't know the policy. If nobody mentioned a cancellation fee or deposit, there's no reason to call ahead.
- Plans changed at the last minute. Some of these you can't prevent, but you can make it easy for them to tell you.
Notice that only the first one is about memory. The rest are about answers and ease. That's where a chat box on your website earns its keep.
How does a website chatbot reduce no-shows?
Here's how each cause lines up with a fix, and who does the work:
| Cause | Fix | Who handles it |
|---|---|---|
| Forgot | Confirmation and reminder texts or emails | Your booking tool |
| Unanswered question | Instant answers about prep, parking, prices and insurance | Website chatbot, 24/7 |
| Hard to reschedule | Share the reschedule or booking link the moment someone asks | Website chatbot, 24/7 |
| Didn't know the policy | Explain cancellations and deposits before and after booking | Website chatbot + your booking page |
| Last-minute change | Take the message and email you, so you can fill the slot | Website chatbot handoff |
The big win is timing. People think about their appointment at 10 p.m., not at 10 a.m. when your phone is staffed. A chatbot that answers "can I move my Thursday visit?" with your reschedule link at 10 p.m. turns a likely no-show into a moved booking. That's the same idea behind answering customer questions after hours.
What can't a chatbot do here?
Being straight about this saves you a bad surprise. ChatBouncer is a chat box for your website, not a booking system:
- It doesn't book, move or cancel appointments, and it doesn't connect to your calendar.
- It doesn't send reminder texts or confirmation emails. Your booking tool does that, and you should turn those on.
- It won't promise a time slot, because it can't see your schedule.
What it does is answer from the info you save, point people to your booking or reschedule link, and tell customers the owner will confirm when it isn't sure. More on that in our guide to letting customers book from your website.
How to set it up
- Turn on reminders in your booking tool. Most booking tools can send a confirmation right away and a reminder a day before. Do this first. It's the biggest single fix for "I forgot."
- Create your ChatBouncer account. Sign up and give it your website address. It reads your public pages and pulls in your hours, services, prices and FAQs.
- Add your booking and reschedule links. Put them on the Booking & payments tab, so the chat box can hand them over in one tap.
- Write the pre-visit FAQs. What to bring, how early to arrive, parking, prep instructions, which insurance you take, and your cancellation or deposit policy. Plain answers, the way you'd say them on the phone.
- Test it like a nervous customer. Ask "I can't make Thursday, what do I do?" and "Is there a fee if I cancel?" in Preview chat. Fix anything that's off.
- Paste one line of code and go live. It works on WordPress, Wix, Squarespace, Shopify and almost anything else. See the install guides.
- Link to the chat in your reminders. Add "Questions? Ask us on our website" to your reminder message so people know where to go.
Want to see it on your own site first? Paste your web address into the free preview on the homepage. It builds a temporary chat box from your public pages that you can talk to. No signup needed.
What does it cost?
Starter is $29 a month (USD) for one website and 1,500 customer messages a month. Pro is $59 for up to 3 websites and adds PDF and Word documents, handy for a new-patient packet or prep sheet. Business is $119 for up to 10 websites. Every plan starts with a 14-day free trial. See full pricing.
If one saved appointment a month is worth more than $29 to you, it pays for itself. For most offices, salons and clinics, it is. See how it works for salons and dental offices.
Questions
Can a website chatbot really reduce no-shows?
Yes, for the no-shows caused by unanswered questions and hard rescheduling. It answers pre-visit questions any time of day and hands people your reschedule link, so they move the appointment instead of skipping it. For people who simply forget, pair it with the reminders your booking tool sends.
Does ChatBouncer send appointment reminders?
No. ChatBouncer doesn't connect to your calendar or send reminders. Your booking tool handles confirmations and reminders. ChatBouncer answers questions on your website and shares your booking and reschedule links.
Can the chatbot reschedule appointments?
Not by itself. It can't see or change your schedule. When someone asks to move a booking, it gives them your reschedule link, or takes their name and contact details and emails you so you can sort it out.
What should the chatbot tell customers before an appointment?
The things people worry about: what to bring, how early to arrive, parking, prep instructions, prices, insurance, and your cancellation or deposit policy. Save those as FAQs and it answers from them.
What happens if a customer messages to cancel late at night?
The chat box shares your cancellation or reschedule link. If you don't have one, it tells them the business will confirm, takes their details, and you get an email with the message, so you can offer the slot to someone else in the morning.
What does it cost?
Plans start at $29 a month (USD), with a 14-day free trial. Building and previewing your chat box is free and doesn't need a card.
